Gravity Pipeline

Choosing: Sales Pipeline vs. Project/Task Pipeline

Gravity Pipeline is flexible enough to power both sales tracking and project/task management — but the setup differs depending on which workflow you’re running. This guide helps you choose the right structure and configure it correctly.

The Core Difference

Sales Pipeline Project / Task Pipeline
Tracks leads through a sales process Tracks work items through a task or project lifecycle
Entries = individual leads or opportunities Entries = tasks, requests, or project milestones
Columns = sales stages (New, Contacted, Proposal, Closed) Columns = workflow stages (To Do, In Progress, Review, Done)
Goal: convert entries to “Won” Goal: move entries to “Completed”
Uses archive zones: Sold / Dropped (Pro) Uses archive zones: Completed / Cancelled (Pro)

Setting Up a Sales Pipeline

A sales pipeline typically flows one direction — from new inquiry to closed deal. Recommended column structure:

  1. New Lead — fresh form submissions
  2. Contacted — first contact made
  3. Quoted / Proposal Sent — pricing delivered
  4. Negotiating — active discussion
  5. Closed Won or Sold (move to archive in Pro)

For the form, use a Radio Button field called “Lead Status” with each of these as choices. Map each choice to a pipeline column.

Setting Up a Project or Task Pipeline

A task pipeline works better with a Kanban-style board where entries can move both forward and backward. Recommended column structure:

  1. Backlog — items not yet started
  2. To Do — prioritized and ready
  3. In Progress — actively being worked on
  4. Review / QA — awaiting sign-off
  5. Done — completed work

For assignment-based task workflows, make sure to also configure the Assign To field mapping so tasks can be assigned to specific team members.

Tips for Either Type

  • Use the Card Title field to show the most important identifier (lead name or task name).
  • Use the Card Subtitle field for context (company name, deadline, or form submitter).
  • Pro users: set up Archive Drop Zones to keep completed/closed entries off the active board without deleting them.
