Gravity Pipeline is flexible enough to power both sales tracking and project/task management — but the setup differs depending on which workflow you’re running. This guide helps you choose the right structure and configure it correctly.
The Core Difference

Setting Up a Sales Pipeline
A sales pipeline typically flows one direction — from new inquiry to closed deal. Recommended column structure:
- New Lead — fresh form submissions
- Contacted — first contact made
- Quoted / Proposal Sent — pricing delivered
- Negotiating — active discussion
- Closed Won or Sold (move to archive in Pro)
For the form, use a Radio Button field called “Lead Status” with each of these as choices. Map each choice to a pipeline column.
Setting Up a Project or Task Pipeline
A task pipeline works better with a Kanban-style board where entries can move both forward and backward. Recommended column structure:
- Backlog — items not yet started
- To Do — prioritized and ready
- In Progress — actively being worked on
- Review / QA — awaiting sign-off
- Done — completed work
For assignment-based task workflows, make sure to also configure the Assign To field mapping so tasks can be assigned to specific team members.
Tips for Either Type
- Use the Card Title field to show the most important identifier (lead name or task name).
- Use the Card Subtitle field for context (company name, deadline, or form submitter).
- Pro users: set up Archive Drop Zones to keep completed/closed entries off the active board without deleting them.
